1. Power Automate

  • Problem Statement
    • Case 1 : There were frequent miscommunication between departments and PICs whenever new joiners join / transfer / exit the company. This then caused new joiners to sometimes not receive their equipment for work on time or sometimes we do not know what equipment were provided when we collect them back, making us loose company assets, which costs the company money. Just to prepare for the new joiner, sometimes multiple emails are sent back and forth before the complete / accurate information is gathered wasting many people's time and effort. As LPH, we will need to be wary of company assets and work with finance teams from our sister companies, we will need to make sure that communication is clear and reaches to all parties.
    • Case 2 : Customers to our sister companies needed to visit multiple showrooms from our different offices. Our sister companies sales teams needed to be in formed and also to make sure that the showrooms or meeting rooms are available. They had cases where their customers visited but the meeting rooms were in use hence causing trouble to our sister company sales teams to close sales with their customers.
    • From these cases, we decided that we needed a solution which could coordinate these different departments, different companies together in one place, and yet something easy for our sister companies hiring managers to provide all involved parties with all the necessary information.
  • Solution
    • With the automation development tool, Power Automate, which is part of our Microsoft 365 account, we decided we could create automations which can help tie everything together and also help our sister companies maximise their investment in Microsoft 365 licenses as well. Based on the different cases, we are able to develop a customised automation solution from scratch via Power Automate which not only solves the issues faced, but also allowed our sister companies to be able to use the automation easily so that it would be easy for them to hand over this process to their next successors too.
    • In summary this automation helps our sister companies
      • Save time, by reducing the need to send lots of emails back and forth every single time a person is hired / leaves / transfers. With our sister companies, we have an average of about 5 people being hired / transfer / leave every month. In one year, that would be about 60 times multiplied by the number of emails sent back and forth.
      • Save company cost, by making sure that all assets are transferred / returned to their respective companies, reducing the need of last minute equipment purchases, workers time is spent on value added work instead of sending emails back and forth or rushing around, reduce human errors when information is transferred to different departments or systems.

2. Dashboard & Data Centralisation

  • Problem Statement
    • Every sister company has different ERP systems and it takes up too much time to generate group level reports for the management. The current process of generating report takes about 4 hours of manual extraction and compilation of data from various systems each time the report has to be done. Urgent and last minute request for any changes to the final report format and addition of any data takes additional hours to redo the entire report. The management requires the report to be generated every month during the management meeting or during any strategy meetings that may arise during the month. The report does not reflect up to date data due to long process and duration of report generation.
  • Solution
    • Data team was able to automate the process of extracting and compiling the data from all the system with minimal manual input. The creation of final report design was customised as per the management's request with various grouping and filters. This also helped the accuracy of information which is crucial for making decisions on future strategy and direction for the companies and with this new improvement, the report was able to be generated within few minutes.

3. Website Development

  • Problem Statement
    • Sister companies develop many brands and each brand requires a unique website and also in some cases, the content is required to be localised in different countries. On top of that, sister company users are not tech savvy, requiring the website to be easily updated. Sister companies also require customers who visit the website to be connected to a centralised CRM system and marketing campaigns to be able to close the leads to generate into sales. Updates sometimes can be urgent and it would be difficult to get it achieved when working with external vendors.
  • Solution
    • With our web development team, we are able to quickly develop the website they require with as many fixes as they require and to fit their design as much as possible while keeping closely to their design wishes as much as possible to reflect the brand image expectations. Hence, our sister companies and branding team will only require to send us the design & content files of the website and we will build the website from scratch on the desired platform and upload all data accordingly as well. As we are familiar with our sister company processes and system infrastructure, we are also able to make sure that the CRM is connectable with their sales processes and systems.

      • Save cost, our sister companies do not require to hire web developers of their own to build and manage the website. We will also make sure that the developed website ties back to their system, ensuring that their processes do not need to change and not too many external integrations are required.
